General Questions

Do you offer a day delegate rate for conferences?

Yes we do! We offer a package for our conferences which include room hire, tea’s and coffees, lunch and AV equipment. Please speak with our dedicated conference team on 01423 500055 option 4 or click for more information.

Does the hotel cater for individual dietary requirements?

Yes absolutely! We cater for all dietary requirements. Please speak with our team if you have any questions about any of our dishes and please advise your server. For any events at the hotel, we ask for dietary requirements for our Head Chef, 2 weeks prior to the event.

Do your rooms have a fridge?

The hotel bedrooms do not have fridges however, if you require any medication refrigerating, this can be refrigerated at our reception desk. Our reception desk is manned 24 hours a day.

Do you take group bookings?

Yes absolutely! We can offer a preferential rate on group bookings subject to availability. Our group bookings are for 8 rooms or more, if you require less bedrooms please contact our hotel reservations team on 01423 500055 option 1. If you require a group booking of 8 rooms or more, please speak with our sales team on 01423 500055 option 4. We can offer group dining in our Wedgwood restaurant or a private room.

Do you have electric car charging points?

The nearest charging station is Connected Kerb Charging Station, located at North Yorkshire Council, Civic Centre, HG1 2AE

How far is the nearest airport?

The nearest airport is Leeds Bradford Airport, which is 13.4 miles from the hotel. Approximately a 30 minute drive. Taxi’s are available on exit from the airport and the Flyer A2 bus, times can be found here. Manchester International Airport is located 72.1 miles from the hotel, approximately a 1 hour 40 minute drive.

How far is the nearest train station?

The nearest train station is Harrogate Train Station – approximately a 15 minute walk or 7 minute drive. Our reception team would be more than happy to book a taxi for you and similarly, taxi’s are available on exit from the station.

Do you have a hotel bar?

Yes, the Swan Bar is located on the ground floor of the hotel. We offer bar food from our lounge menu along with afternoon tea. Our Swan Bar also features a terrace, which overlooks our front lawns. For menus and more information on how to book, please head to our dining page.

Which room did Agatha Christie stay in?

Do you have interconnecting bedrooms?

We have 6 interconnecting bedrooms.

What are your room amenities?

In each room you will find a hairdryer, iron and ironing board, tea & coffee making facilities, hair & body wash, television and hotel telephone. Our Executive Bedrooms and Suites feature upgraded amenities.

What time do you serve breakfast from and until?

We serve breakfast in our Wedgewood restaurant between 7am and 9:30am Monday to Friday, 7:30am -10am on Saturdays and 8am – 10:30am on Sundays.

Do you have any rooms that accommodate an additional beds or sofa bed?

Yes, all of our suites feature a sofa bed. Some of our rooms can accommodate an extra bed(s) – please speak with the member of team on booking your hotel reservation and we can check if we can accommodate on the dates of your stay.

How many function rooms do you have?

We have 10 function rooms at the hotel – our Library Lounge, Library, Foxhunter Suite, Bramham Suite, Rose Room, Penthouse, Red Lounge, Garden Room, Ballroom & Wedgewood. To see more information on our rooms and capacities click here.

Is there Wi-Fi in every room?

Yes, WIFI is available throughout the hotel.

Do you have any leisure facilities?

The hotel has no leisure facilities. We recommend a local leisure centre – Harrogate Leisure and Wellbeing Club (formally known as the Hydro) located on Jennyfields Drive, HG1 2RP. Harrogate features lots of lovely parks and the famous stray, perfect for running.

What time is check in and check out?

Check in is from 3pm and check out is 11am. We are more than happy to store your bags for you if you arrive early, or when you check out if you wish to explore Harrogate before you travel home.

Is the hotel dog friendly?

We are a dog friendly hotel, we would advise you to make the member of team aware at the time of booking. To bring your furry friend, there is an additional charge of £10.00 per night. We allow dogs in our bar area, for any meals that you have at the hotel we will set up a table in the bar for you to dine with your dog. Our hotel policy does not allow dogs to be left unattended in the room.

Are your function rooms accessible?

Yes, all function rooms apart from our Penthouse, are situated on the ground floor. We also have a ramp into the front hotel entrance.

How many car parking spaces do you have onsite?

We have over 100 car parking spaces on site, which are on a first come, first served basis. Included in the number we have 4 blue badge spaces at the front of the hotel entrance. To park in the car park, you need to purchase a permit from reception to display on your dashboard, for the duration of your stay.


Wedding Questions

Do you offer complimentary wedding tasting?

Yes we do – our wedding coordinator will be in touch with you to arrange this.

Can we organise a bar tab?

Yes of course! Prior to your wedding, we can set up a tab on the bar and communicate what has been spent throughout the day of the wedding.

I am inviting children to my wedding, what options are available for food?

Children between five years old and twelve years old can either choose three courses from our children’s menu or a half portion of your wedding breakfast menu from £14.95 per person.

Can you cater to dietary requirements?

Absolutely! We can cater to all dietary requirements. Please speak with your wedding coordinator to find out what options are available.

What table sizes do you offer and how many guests would you recommend we seat round each table?

We have both 5ft and 6ft round tables. Our 5ft round tables can seat up to 10 guests, where our 6ft tables can seat up to 12 guests.

Can we provide our own decorations?

Absolutely – DIYing your own wedding can be lots of fun and means you can add a real personal touch.

How do we start planning?

Now that you’ve secured your venue, it’s the perfect time to start booking other key suppliers such as your photographer, wedding cake maker, transport (if needed), décor, and more. From there, you can begin to build a timeline for the day, with guidance from our experienced wedding coordinator, and start thinking about how to make each element of your celebration truly personal.

As the big day gets closer, you’ll begin working on your seating chart, collecting dietary requirements and menu selections (if you upgrade to a choice menu), and finalising guest numbers.

Our wedding coordinator will support you every step of the way and is always on hand to answer questions—no matter how big or small.

Can we access the hotel by public transport?

Absolutely! Harrogate Railway Station is approximately 15 minutes’ walk from the hotel or just 7 minutes by taxi.

Do you have parking onsite?

We have a large hotel car park onsite with over 100 spaces – please note that all wedding guests require a permit to park with us, which can be obtained at reception on arrival.

How do I arrange a viewing?

What are your payment terms?

Once you’ve paid your initial deposit, your next payment will be six months prior to the wedding. This payment is for 50% of the remaining balance – please provide us with an update of your guest numbers at this point, so we can make sure the remaining balance is accurate. Your final payment is then due six weeks prior to the day, when we collect your final guest numbers.

Do you allow fireworks?

The hotel has a strict policy against fireworks and other pyrotechnics.

Do you allow confetti?

We wouldn’t want you to miss out on the confetti shot! We do just ask that you use bio-degradable confetti as it’s kinder to the environment.

Are dogs allowed?

We welcome dogs in the ceremony and drinks reception spaces – after all, your dog is part of the family, and they deserve to be a special part of your wedding day! Dogs are not permitted in the food service areas, and therefore we recommend finding a dog sitter who can take care of them during the wedding breakfast and evening reception.

Dogs are charged at £10.00 per night, and cannot be left unattended in our bedrooms.

Can we use our own suppliers?

Absolutely! We have a list of tried, loved and trusted suppliers that we highly recommend, you can however source your own suppliers to.

Is the venue accessible?

All of our function rooms are situated on the ground floor, for ease of access. We have a lift to all floors and can allocate rooms with accessible shower facilities upon request. We also have blue badge holder spaces at the front of the hotel, with a ramp into the hotel entrance.

Do you accept card and cash payments?

We are a cashless hotel, so please ask your guests to bring their credit/debit cards. We also accept google pay and apple pay.

What are our accommodation options?

We have 136 bedrooms onsite, for more information head to rooms. Our wedding packages include our bridal suite for the night of your wedding and we offer set preferential rates for your guests to take advantage of.

How long would we have access to the venue?

We offer access from 7am for suppliers to set up on the day of the wedding. Our bar is licensed until 12.30am.

Are you licensed for legal ceremonies?

All of our function spaces are licensed for civil ceremonies, including our beautiful outdoor Pavilion, one of Harrogate’s only outdoor ceremony venues.

How many guests can The Old Swan accommodate day or evening?

We have a variety of elegantly proportioned function rooms that can accommodate numbers of 2 – 400 guests. Our Garden Room & Ballroom combined, our larger function space, is the ideal space for weddings of a minimum of 50 guests, while our Library and Red Lounge are perfect for more intimate wedding celebrations.

Do you offer bespoke packages?

Yes we do – we understand that not every aspect of our wedding packages may suit you, therefore we can tailor this to suit your requirements. Please speak with our wedding coordinator, to discuss further.

Can you accommodate a live band/DJ?

Our resident DJ is included in all of our wedding packages and can tailor the playlist to your personal taste. If you’re planning to feature a live band or musician, we would just require PAT and Public Liability Insurance certificates for any entertainment you choose to provide.

Do you have a sound system for our music and microphones for speeches?

We have a PA system that can be used for background music during the ceremony, drinks reception and wedding breakfast, as well as a microphone for speeches.
